Types of Equipment Transfer

Interdepartmental Transfer

The department transferring the equipment should complete an MSU Transfer of Equipment Form containing each item to be transferred. The transfer form requires the sending, and receiving, department head, dean or director's signature in order to be valid. Only after both signatures have been obtained is the transfer complete. It is the responsibility of the sending department to obtain both signatures prior to forwarding the transfer form to Property Control.

Interagency Transfer (Within the University Community)

The procedure for transferring equipment between one university agency to another (i.e. MSU to MAFES) is the same as with an interdepartmental transfer, but a new inventory will be assigned. Complete the information for each item(s) to be transferred. Complete the sending and receiving portion of the form, including the appropriate agencies (i.e. Agricultural Economics-MAFES). It is the responsibility of the sending department to obtain both signatures prior to forwarding the transfer form to Property Control.

Interagency Transfer (Outside of the University Community)

Transfer of equipment to a state agency outside of the university community requires a request by memo including the description, serial number, inventory number, receiving agency and reason for the transfer. The memo must be signed by the department head, dean or director.

Transfer to an Agency Outside of Mississippi

Requests for the transfer of equipment to an agency not funded by the State of Mississippi should be made to Receiving & Property Control in the form of a memo. The memo should include description, serial number and inventory number of the equipment, as well as the circumstances surrounding the transfer. Since transfers of this kind are rare and require special attention, a lead time of 60 days prior to the planned transfer is advised.
